ARServices is seeking a Secretary II to join its team. The Secretary II must demonstrate ability to multi-task and ability to work within a team environment. The ideal candidate is someone extremely motivated, articulate, and proficient with the Microsoft Office suite and has a passion for outstanding client service. This position is located at the Department of Energy, Defense Nuclear Facilities Safety Board (DNFSB), Washington, DC.
Type a variety of documents such as letters, memoranda, reports and forms Proofread correspondence, reports, memoranda, and forms to ensure the final document contain the correct punctuation, spelling and grammar Prepare travel authorizations, vouchers, and make travel reservations and trip reports for official travel of the Board staff Enter information in the Board's time & attendance web-based system Coordinate the FedEx deliveries, keep a log of pickups, and arrange for courier service Serve as the organizational coordinator for conference room reservations, which requires the electronic scheduling of rooms for conferences or meetings Perform other general office duties as assigned such as photocopying, addressing envelopes, mass mailings, collating documents, filing etc Create the transmittal letter being sent to DOE's Office of Classification, maintain the tracking database for these documents, and process the documents upon their return from DOE Prepare and distribute morning reports and other ad hoc reports, as requested Prepare and maintain group calendar of activities (e.g., leave, travel, training, etc.) Track and monitor a variety of requests and documents processed within the office assigned Prepare and process training requests Requirements
Ability to type at least 40 words per minute Basic operating knowledge of computers Operating knowledge of Outlook email Advanced knowledge of Microsoft Word and basic knowledge of Microsoft Excel and PowerPoint Strong interpersonal skills Ability to understand the structure and comply with the chain of command of a Federal agency Minimum 3 years performing various phases of administrative practices BA/BS preferred, high school degree required Knowledge and experience in applying sound office and administrative practices, procedures and policies including, but not limited to, such areas as, filing systems, records and forms control; inventory records and correspondence control Ability to multi task and work in a fast paced environment Outstanding oral, written and electronic communication skills ARServices is an Equal Opportunity/Affirmative Action Employer committed to hiring and retaining a diverse workforce, including protected veterans and individuals with disabilities.
